Instructions for Extended Warehouses

What the add-on does

The add-on records vendor shipments to fulfillment in Multi-Vendor. Stock operations require the standard Warehouses add-on to be active. These shipments are separate from shipments of customer orders.

Where to find the add-on

• Operating mode: Add-ons → Manage add-ons → Extended Warehouses.
• Shipment list: the shipment entry under Products.
• Creation: select a warehouse and products in the product list, then use the shipment bulk action.
• Fulfillment link and Default flag: the fulfillment warehouse record.
• Statuses: Administration → Statuses, fulfillment shipment statuses.

Mode and warehouse preparation

FBO + FBS is the default: vendor warehouses and fulfillment are used together. The vendor warehouse must have the correct fulfillment link. Open products with the source warehouse selected before creating a shipment.

FBO restricts vendor-owned warehouses. Vendors can access the shipment action when an active marketplace fulfillment warehouse exists. The regular form transition does not pass a source warehouse, so its stock is not deducted. The active default marketplace fulfillment is selected as the destination, falling back to another active fulfillment warehouse. Set the intended default explicitly.

Saving the Default flag clears it on all other warehouses. When a new vendor is created, a linked warehouse can be created from the active default fulfillment warehouse; this does not update existing vendors.

Create a shipment

1. Check the fulfillment link and stock. In FBO + FBS, select the source warehouse in the product list.
2. Select products and use the shipment bulk action.
3. Review the products and enter quantities to ship. FBO + FBS displays source stock. Do not ship more than the actual available stock.
4. Save once. A waybill number, sending date and in-review status are recorded. When a source warehouse is passed, stock is deducted immediately; this is not a separate reservation.
5. Check the destination in the shipment list and open the waybill for printing.

The form includes a delivery method, but the current handler does not save this choice or book a carrier. In FBO, the quantity input still uses the source warehouse stock limit even though the regular transition omits that warehouse. If the form blocks the required quantity, refer the issue to the developer instead of bypassing the limit.

Acceptance and rejection

Approve the shipment after physical receipt: quantities are added to the destination, the arrival date is recorded and a notification is sent. To reject it, use the rejection action and enter a reason. FBO + FBS returns stock to the source; FBO does not.

Process each shipment only once. The current handlers can add quantities again on repeated approval or return them again on repeated rejection. Do not repeat an action to correct a mistake; reconcile stock with the warehouse operator first.

How to check operation

1. Record source and destination stock for a control product.
2. Create a one-unit shipment in FBO + FBS: source stock should decrease by one while destination stock remains unchanged.
3. Approve once: destination stock should increase by one and an arrival date should appear.
4. Reject a separate shipment: quantities return to the source only outside FBO.
5. Check the waybill contents and vendor notification, taking the store's mail and recipient settings into account.

In FBO, check the selected fulfillment and quantity input separately; do not expect a deduction from an absent source warehouse. PDF printing depends on the PDF Documents component; the regular printable document and PDF are separate modes.
